CODIS360 Privacy Notice

This notice explains how Optima Business Solutions LLC (“Optima,” “we,” “our,” or “us”) processes information through CODIS360. It is intended to supplement, not replace, the privacy, records-management, and information-security requirements of the laboratory or agency operating the deployment.

1. Information processed

CODIS360 may process account and contact information, role and organization assignments, HIT and case workflow records, agency and laboratory details, attachments, comments, notifications, and configuration data. The application also records security and usage information such as sign-in outcomes, audit events, timestamps, IP addresses, browser or device information, and session activity.

2. How information is used

Information is used to provide authenticated, role-based access; support authorized forensic workflows and coordination; maintain records; detect, investigate, and prevent security issues; provide support; and satisfy operational, legal, and audit obligations.

3. Access and disclosure

Access is restricted by assigned role and organizational scope. Information may be disclosed to authorized laboratories, agencies, administrators, service providers acting on documented instructions, or governmental authorities when required for an authorized workflow, oversight activity, legal process, security investigation, or applicable law.

4. Security

CODIS360 uses role-based controls, authentication controls, audit logging, and deployment-specific technical safeguards designed to protect information from unauthorized access, use, alteration, or disclosure. No system can guarantee absolute security; users must protect credentials and promptly report suspected security incidents.

5. Retention and deletion

The operating laboratory or agency determines retention, archival, and deletion requirements for its operational records, subject to applicable law and contractual obligations. Requests to correct, access, or delete information may be limited by legal, evidentiary, audit, or records-retention requirements.

6. Cookies and technical storage

CODIS360 uses necessary session and security storage to operate authenticated workflows. It is not intended to use advertising cookies or sell personal information. Deployment administrators may configure additional infrastructure logging consistent with their policies.
